Fast Schedule

The Fast Schedule page allows you to copy schedules quickly. Schedules associated with one asset can be copied to another asset, or schedules associated with one property can be copied to another property. Additionally, the Fast Schedule page allows you to make simple updates to multiple schedules associated with a particular asset or property.

ClosedCopy Schedules Between Assets

You can copy schedules from one asset to another. To do so:

  1. Access the Schedule module by clicking the Schedule link at the top of the page.

  2. Select the Fast Schedule tab.
  3. Click SELECT ASSET #1

    A dialog box opens allowing you to find an asset. This is the asset that the schedules will be copied to.

  4. Locate and select the asset to which schedules will be copied.

    The asset name appears at the top of the Fast Schedule page. A list of all active schedules for that asset is also displayed. Inactive schedules do not appear.

  5. Click SELECT ASSET #2

    A dialog box opens allowing you to find an asset. This is the asset that the schedules will be copied from. By default, only assets of the same asset class are displayed.

  6. Locate and select the asset from which schedules will be copied.

    The asset name is displayed on the Fast Schedule page as asset #2. A list of all schedules associated with asset #2 is also displayed. All of the displayed schedules will be copied from asset #2 to asset #1.

  7. Click the Click here to copy schedules from Asset #2 to Asset #1 link.

    A dialog box opens asking you to confirm your choice.

    The process requires you to copy all of the schedules, even if you only want one or two. However, you can easily delete any copied schedules that you don’t need.

  8. Click OK.

    All of the schedules associated with asset #2 are copied to asset #1. You can change the Schedule Name and Duration without opening the schedule by modifying these fields. If a copied schedule has no overrides, you can also change the Assigned To user. Once you have made these changes, click UPDATE to save them.

    To the right of each schedule are the following links:

    • EDIT – Allows you to make changes to the copied schedules. Clicking this link opens the Schedule Details page.
    • GEN – Allows you to generate the schedule. If you generate the schedule, the DEL link will be replaced with a View link, allowing you to view the generated work orders.
    • DEL – Allows you to delete any schedules that were copied but not needed.

ClosedCopy Schedules Between Properties

You can copy specific schedules from one property to another. When doing so, you can only copy the schedules associated with one property's particular space/floor to another property's space/floor. You cannot copy schedules that have assets associated with them in property mode.

To copy schedules from one property to another:

  1. In the Schedule module, click the Fast Schedule tab.

  2. Click the Switch to Property Mode link.

  3. In the Select the Property to Copy To pane, specify the property and location that schedules will be copied to.

    1. Click the Property Select link to locate a property.

      A list of all active schedules for that property is displayed. Inactive schedules and schedules that have assets associated with them do not appear.

    2. Specify a particular location within the property to copy the schedules to by selecting a Tower/Wing, Floor, Space, or Sub-Space.

      Location is highly configurable; your system may display one or more of these fields. The list of displayed schedules narrows to show only those schedules currently defined for the selected location.

      You must select a space to copy the schedule to. You cannot copy schedules without specifying the space within the property that the schedules will be copied to.

  4. In the Select the Property to Copy From pane, specify the property and location that schedules will be copied from.

    1. Click the Property Select link to locate a property.

      A list of active schedules for that property is displayed. Inactive schedules and schedules that have assets associated with them are not displayed. This is because assets cannot be copied from one property to another.

    2. To narrow the list of schedules that are copied, specify a particular location within the property by selecting a Tower/Wing, Floor, Space, or Sub-Space.

      Location is highly configurable; your system may display one or more of these fields.

      Note:

      You must select a space within the property that the schedules will be copied from.

      The list of displayed schedules narrows to show only those schedules currently defined for the selected location.

  5. To copy all of the displayed schedules from one property to another, click the Click here to copy schedules from Property #2 to Property #1 link.

    A dialog box opens asking you to confirm your choice.

    Note:

    If the Click here to copy link does not appear, it is because you did not select spaces for both the Copy To and Copy From properties.

  6. Click OK.

    All of the schedules associated with property #2 are copied to property #1. You can change the Schedule Name and Duration without opening the schedule by modifying these fields. ClosedMake Fast Schedule Updates

The Fast Schedule page can also be used to make simple updates to a group of schedules associated with an asset or a property. This is done by locating the schedules associated with asset #1 or property #1 and making updates to the displayed schedule information.

In the following example, updates are made to the schedules associated with a property. However, the same process can be applied to schedules associated with an asset. To update schedules:

  1. In the Schedule module, select the Fast Schedule tab.

  2. Click a link to switch to either the asset or property mode.

  3. Click either the SELECT ASSET #1 or SELECT PROPERTY #1 to select an asset or property.

    A dialog box opens allowing you to find an asset or property.

  4. Locate and select an asset or property.

    A list of all of the active schedules for that asset or property appears. Inactive schedules are not included.

  5. Modify any of the following values for one or more schedules:

    • Schedule Name – Click into the Schedule Name field to modify the name of the schedule.
    • Schedule Start Date – If the schedule has not been generated, you can select a new start date. The start date for generated schedules cannot be modified.
    • Schedule Assignment – Specify who the scheduled work orders will be assigned to.
    • Assigned To – Select a new user to assign the work orders to. If you change this value, you must regenerate the schedule to update any generated work orders.

    • If Crews functionality is enabled, you can select a Crew (for example, Janitorial Staff or Electricians) to assign the schedule to. You can either leave the schedule assigned to the crew, in which case it will be automatically assigned to the crew leader, or further specify an assignment by clicking the Assigned To Select link and selecting a particular member of the crew.

      Once you assign a schedule to a crew, it cannot be reassigned to an individual, only to another member of this or another crew.

  6. Click UPDATE.

  7. In addition, you can perform any of the following operations on an individual schedule:

    • EDIT– Click this link to open a Schedule Details page to make modifications to the schedule. If you modify a schedule, you must regenerate it for the changes to take effect.
    • GEN – Click this link to generate the schedule. If the schedule has already been generated, clicking this link will discard all of the previous uncompleted work orders and replace them with new work orders. If you make updates to schedules, you must click this link to apply the updates and regenerate new work orders.
    • VIEW – This link is only displayed for schedules that have been generated. Click this link to view a list of the work orders associated with this schedule. On the displayed list, you can click the work order number link to view the details of a particular work order.
    • DEL – This link is only displayed for schedules that have not been generated. Click this link to delete the schedule.
